FALL CUP REGIONS

In April, the list of Fall Cup Regions and captains was posted online. The list has since been updated to include emails for all captains.

2018 SCHEDULE

Here is the schedule of matches for the 2018 season. Any rain dates must be completed by 5:00 p.m. on October 5, 2018.

Match 1: Wednesday, September 12

Match 2: Thursday, September 20

Match 3: Thursday, September 27

Championship: Wednesday, October 17 @ Willowbend

TOURNAMENT MANAGEMENT POWERED BY GOLF GENIUS

This season, we will be using Tournament Management Powered by Golf Genius to manage rosters and collect results for this year’s matches. On Friday, August 24th you will receive an official “invite” to join as a captain. That invitation will also include very specific instructions on how to manage the program. For those of you who have not used this in the past, please know that it is very user friendly.

In addition to the team captains, members of your club’s staff can also receive an “invite” to join Tournament Management. This will allow them to update rosters and print pairing sheets. We have found that having at least one person from your professional golf staff added into Tournament Management is very helpful. Please email Cathleen – cbeach@massgolf.org – the name of your club, the contact’s name and his/her email address. 

FALL CUP PAMPHLET (click here)

The Fall Cup Pamphlet has been posted on MassGolf.org on the Fall Cup Landing page. Please familiarize yourself with the policies and procedures of Fall Cup and be sure to share the link to the Pamphlet with your teammates. We have also included a link to a printable (PDF) copy for your convenience.

Although every Fall Cup participant should review all information included in the Pamphlet, here are some key notes:

Format
All matches and the Fall Cup Championship are played at the September 1st Mass Golf/USGA Revision Date and at 90% of course handicap. Please make your team members aware of this format. For all host captains, please note that a shotgun is the preferred starting method. Tee times may be used at the discretion of the host course.

Team Member Criteria
Your team members may include any female member of your club who has an active GHIN number at your club with an index of 36.0 or less & has posted at least five 18-hole scores in the past 12 month. A complete list of all the players on your GHIN roster will be loaded into the Tournament Management software with the September 1st revision indices. There is no limit on the number of different players that a club team may field throughout the matches. However, all players must have played in at least one match for a club in order to be eligible to play for that team in the Fall Cup Championship.

Lunch Requirement
All players are expected to pay and stay for lunch. You must notify the Host Captain in advance if anyone cannot stay for lunch. It is recommended that the host team collects the money for both the cart and lunch at registration.

Score Posting
All Fall Cup match scores must be posted but not as “T” scores. It is the responsibility of each Captain to make certain their players post their scores. Scores from the Fall Cup Championship will be posted by the office as “T” scores.

Pace of Play
Please read carefully the pace of play information in the pamphlet. There are no exceptions to this rule. It is the responsibility of the host captain to clearly define the expected length of play of the match.

INFORMATION RESOURCES

Remember to visit MassGolf.org for all Fall Cup information. The Fall Cup landing page can be accessed at any time at: PLAY à Women’s Cups à Fall Cup Matches. Included on this landing page are public and captain-only links to Tournament Management Fall Cup Portal. Match results will be posted as soon as possible.

Beginning the week of September 12th, weekly results and updates will be sent out to directly to all Fall Cup Matches participants.

CAPTAIN’S RESPONSIBILITIES

We ask that all captains use the Tournament Management software to set each week’s team roster and input scores after each match. Mass Golf will be responsible for making sure that your club’s membership list is properly set up in Tournament Management, but here is a summary of your weekly responsibilities as team captain:

>> Set Your Roster
Each week, you should log into the Tournament Management program and set your roster. Once your roster is complete, notify your fellow captains. If you are unable to set your roster online, you can complete the Team Roster Form by hand and send that to your regional captains no later than 5 days before your match. Rosters may be different for each week, but captains must be notified promptly of changes.

>> Substitution Process
Notification of any substitutes must be called in or emailed to the Host Captain no later than the night before a match. The opposing captain must also be notified of any substitutes. Any later substitutions will require the Captain of the team bringing the substitute(s) to be at the site at least 30 minutes before the start of the match. It is the responsibility of the captain of the team bringing the substitute(s) to ensure that the scorecards are correct and in the proper order (i.e. each team must be listed according to and by index and not placed in the position of the player whom the substitute is replacing.).

HOST CAPTAIN RESPONSIBILITIES

Each week, we will send a reminder note with step-by-step instructions on what each Fall Cup captain needs to do prior to hosting. A special section will be dedicated to the weekly role of the host captain. Here is a summary of the key responsibilities of those host captains.

>> Complete the Cart/Caddie/Lunch Policy Form (pre-season)
This form must be filled out well prior to your home match. Filling out this form will require you to speak with the food/beverage manager and golf professional ahead of time. You should check on the arrangements for golf (shotgun, tee times, range availability, cart fees) and make arrangements for the lunch. Please encourage your club to keep the price/offering modest and to provide a “To Go” option for players. Once these arrangements have been made, fill out the form and send a copy to each Captain in your Region AT LEAST one week prior to your home match, along with travel directions. Include the cost of lunch and cart per person, your course’s slope and rating, and the starting times of the match.

>> Print Scorecards & Pairings Sheets (just prior to the day of the match)
The Tournament Management will be used to print scorecards and pairings sheets for all matches. It is very simple to print the cards and pairings sheets, and we will send detailed instructions to all captains. However, the cards are only as good as the information in Tournament Management. It is extremely important to communicate all changes and to make all changes in Tournament Management.

>> Report Scores (no later than 3:00 p.m. the day of the match)
Host captains will be responsible for entering results using Tournament Management. Results entered via Tournament Management will be visible for all to access via the Tournament Management Portal. If not using Tournament Management, after the match, scan and email results to: cbeach@massgolf.org. You can also take a photo on your smart phone of result sheet and email it. Match results must be submitted by 3:00 p.m. In addition, please leave a copy of the Results Sheet with the Host Pro Shop in case there are any questions. There is no longer any need to mail the original Results Sheet.
